Your Residence Permit Is About to Expire - Do You Know That One Missing Document Can Get Your Application Rejected?

Residence permit renewal deadlines creep up before you know it. Polish voivodeship offices (urzędy wojewódzkie) scrutinize every application carefully, and even one missing document can be grounds for rejection or a demand to provide additional materials. This article covers the current requirements and a step-by-step guide to submitting your application in 2026.
When to Apply - and Why You Shouldn't Wait Until the Last Minute
You must submit your application for a residence permit extension before the last day of your legal stay in Poland. Missing this deadline interrupts your legal status, and reinstating it is considerably more difficult.
But there is another reason not to delay: if your type of permit requires your employer's signature, they have 30 days to respond. If they don't sign in time - you won't be able to submit your application. The Office for Foreigners (Urząd do Spraw Cudzoziemców, UdSC) explicitly warns: do not leave your submission to the last few days.
How the System Changed in 2026
From 27 April 2026, all applications for extending or obtaining a residence permit must be submitted exclusively online through the MOS portal (Moduł Obsługi Spraw). Paper applications received by the voivodeship office after 26 April will not be processed, regardless of the postmark date.
The previous version of the MOS portal was shut down on 17 April 2026, and all accounts and data were deleted. If you had an account in the old system - it no longer exists. You will need to register again.
Step 1. What to Prepare Before Logging Into the System
Before accessing the MOS portal, make sure you have:
- an active PESEL number - required for identification in the system
- Profil Zaufany - the Polish electronic identity platform; without it, signing the application is impossible
- an active e-Doręczeń mailbox - the office will send all official notifications and decisions on your case to this address
Important: check that the number of your foreign passport registered in the PESEL system matches your current document. If your passport has been renewed - the data in PESEL may be outdated. To correct this, contact the population registration department at your local gmina office. Without this, the system may not find your record.
Step 2. Documents to Upload in MOS
All documents are submitted as digital copies - scans or photographs. Paper originals are not accepted in the system.
- scans of all pages of your valid foreign passport
- a photo in JPG format - 684x883 pixels, file size up to 2.5 MB; the same standards as for a passport photo
- proof of registered address in Poland (meldunek) - a document issued by the gmina
- proof of grounds for stay - depending on the type of permit
- proof of payment - a scanned paper receipt or electronic confirmation of a bank transfer: PLN 100 for
- card production plus a stamp duty depending on the type of permit (PLN 340-600)
Which Documents Confirm the Grounds for Stay
The exact list depends on the type of permit. For those in legal employment:
- an employment contract (umowa o pracę) or a civil-law contract (umowa zlecenie)
- a ZUS RCA certificate with submission confirmation - provided by the employer free of charge
Please note: if your application requires an employer's signature, they will receive a message in the MOS system with a signing link. The link is active for 30 days. If the employer fails to sign within that time - you will not be able to submit your application.
If you are studying or have another grounds for stay - check the list of required documents on the website of the voivodeship office in your place of residence, as requirements vary by permit type.
Step 3. Completing and Signing the Application
In the MOS portal, you can pause the process and return to your saved draft within 45 days. This allows you to verify the data gradually. However, once the application has been submitted, it cannot be edited or withdrawn - the system does not provide this option.
After completion, the application is signed using Profil Zaufany or a qualified electronic signature. Upon submission, the system generates an Official Acknowledgement of Receipt (Urzędowe Poświadczenie Odbioru, UPO) - the official confirmation of receipt.
What Happens After Submission
Once the application is verified, the voivodeship office sends a confirmation to your e-Doręczeń mailbox - this replaces the old red stamp in the passport. The office then summons you for a personal visit to take fingerprints, check the original passport, and clarify any details.
The decision is sent to your e-Doręczeń address. Processing times are not fixed and depend on the voivodeship and the type of application.
Important: the application for the physical residence card itself (wniosek o wydanie karty pobytu) is a separate document, which is still submitted in paper form directly to the voivodeship office - after a positive decision has been issued.
Common Mistakes That Lead to Rejection or Requests for Additional Documents
- a discrepancy between the passport number in the PESEL register and the actual document
- a photo that does not meet technical requirements or was taken more than 6 months ago
- a missing or inactive e-Doręczeń mailbox
- an application submitted after the legal stay has expired
- the employer failed to sign the document attached to the application within the required timeframe
